Exporting Packaging Machinery: Crating, Shipping, and Customs That Protect the Machine

A packaging machine crossing an ocean arrives at the plant with a three-month lead time and a six-figure price tag - and too often, it arrives damaged, rusty, or stuck in customs. Machinery export is not "put it in a box and ship it." It is engineered crating, moisture control, freight class decisions, and a document set that survives inspection at both ends.

The Scenario: The Rust That Arrived by Sea

A corrugator component ships from Asia to South America in a wooden crate with no desiccant and no vapor barrier. The voyage crosses the tropics; condensation forms inside the crate; the machine arrives with surface rust on the precision ways. The buyer rejects it, the seller eats a $60,000 claim, and the line is delayed two months. The fix cost $200 in desiccant and barrier film.

The Solution: The Export Protection System

Five layers protect the machine and the deal:

1. Engineer the crate to the load, not to a template The crate must restrain the machine against 3-axis shock: base skids rated to the machine weight, blocking that locks the machine to the skid, and top/side members that carry stacking loads. A 5-ton machine needs a 5-ton-rated base, not a general cargo crate. Follow the carrier’s and insurer’s packing standards - deviation voids coverage.

2. Stop moisture and condensation Line the crate with a vapor barrier (poly film), seal it, and add desiccant calculated to the crate volume (typically 1-2 units per cubic meter for a sea voyage). Add a humidity indicator card so arrival inspection can verify the environment held. For high-value or precision equipment, consider a sealed bag with desiccant around the machine itself.

3. Choose freight by value and fragility Less-than-container (LCL) and full-container (FCL) differ in handling and cost; FCL gives control over the container environment and reduces handling. For high-value machines, sea freight with proper crating is standard; air freight suits urgent or very high-value moves. Compare total cost including insurance, not just the freight quote.

4. Prepare the document set before the cargo The critical documents: commercial invoice (valuation must match the declared value), packing list (weights, dimensions, crate contents), bill of lading, and the certificates the destination requires (CE declaration for the EU, HS code classification, origin certificate for duty preference). A documentation checklist per destination market prevents the most common port delays.

5. Specify installation and commissioning in the contract Crating and shipping protect the machine to the door; installation and commissioning are separate scope. Define in the contract: who unpacks, who inspects (with a joint inspection report at arrival - the basis for any claim), who installs, and who runs the FAT or SAT acceptance. The arrival inspection is the insurance claim’s foundation - photograph and document everything.

A machine builder standardized its export system - engineered crates, desiccant and humidity indicators, FCL for high-value lines, and a destination document checklist.
