What should a batch record contain on a paper container line?
At minimum: the batch identifier, date and shift, machine and tooling used, raw material lot references, key process settings, operator identification, quantity produced, inspection results, and any deviation with the action taken. The record should be written during production rather than reconstructed afterwards, because its value lies in reflecting what happened rather than what someone remembers. Keep it with the material lot references so a defect can be traced in both directions.
How do I trace a defect to a material lot?
Start from the finished batch identifier and work backwards through the record to the material lot numbers consumed, then forwards from those lot numbers to every other batch that used the same lot. The forward step turns a complaint into a containment decision, because it identifies the other finished goods at risk. The trace works only if the material lot number was recorded at the point of use, which means receiving and production must share a single identifier.
Does traceability require software?
No. Software helps at volume, but a disciplined paper record with consistent identifiers works and is often the right first step. The prerequisite is one identifier scheme used everywhere, and a rule that the record is completed at the machine during the run. Plants that computerize before fixing their identifiers usually automate inconsistency; plants that standardize identifiers first can move to software later without renumbering their history.
Which identifiers are needed to investigate a defect?
Four: material lot or roll number, machine or line asset ID, tooling code with revision, and an operator or crew reference. Joining them turns a complaint into a short list of candidate causes. A defect with one tooling revision points to the die; a defect on one shift points to process or training; a defect tracking a material lot points to the input. How long should batch records be retained?
Retention should follow the longest obligation that applies: the customer's quality agreement, the market's regulatory requirement, and the product's shelf life plus a margin. Many plants retain batch and lot records for at least the declared product life plus one year, or longer where contract terms require it. The practical test is whether the plant could answer a traceback inquiry from a customer two years after shipment using its own archive.
What traceability capability should a machine purchase specify?
Six items: which process settings the control system logs automatically, batch and lot identifier fields exposed on the HMI, an open timestamped export format per batch, tooling identification fields, alarm and event linkage to the batch identifier, and recommended retention guidance.
